TRAVEL MANAGEMENT GROUP PLC BOOKING CONDITIONS
Travel Management Group PLC, hereinafter called
the "Company" undertake to ensure that all
possible care is taken so that the travel arrangements
run efficiently and successfully. These booking
conditions seek to explain as clearly as possible the
responsibilities undertaken between us when you make and
we accept a reservation.
1) Confirming a Reservation: The
person signing the booking form is deemed to be acting
on behalf of each person booked on that form and is
responsible for ensuring that each person is fully aware
of these booking conditions. In the absence of a signed
Booking Form, a signed fax will be accepted and these
booking conditions will apply in full. The person
signing warrants that he/she is authorised by the other
persons named including where the other person is under
18 years of age the authority of the parent or legal
guardian. No additions or changes may be made to the
Booking Conditions except by a Director of the Company
in writing and signed by the Director.
On receipt of the Booking Form we will
issue you with a Confirmation of Booking confirming the
tour details and if appropriate the final date by which
your balance of payment is due. Failure to pay the
balance by the due date will result in your reservation
being cancelled and your deposit forfeited.
Ordinarily your travel tickets and or
boarding cards will be distributed at the airport of
departure. The confirmation of booking together with
personal identification must be produced at the point of
departure. It is the responsibility of individual
travellers to ensure that they are in possession of a
valid passport and visa if required.
2) Insurance: Insurance as arranged by
the Company is strongly recommended and the premium
should be paid at the time of making the reservation. If
you decide not to take advantage of the insurance cover
arranged by the Company you must advise us of the
alternative cover arranged at the time of booking. In
the event of cancellation, insurance premiums are not
refundable.
3) Cancellation: If you decide to
cancel your travel arrangements this must be done in
writing by the person who has signed the booking form.
The time of the cancellation is the date it is received
in writing by the Company. The Company will forward a
cancellation invoice to you to cover all cancellation
charges and if you are covered by insurance these costs
may be recoverable subject to the terms and conditions
of the insurance policy.
4) If you change your arrangements: We
regret that if you change your arrangements once they
have been confirmed, we reserve the right to levy an
amendment fee of £35.00 per person to cover costs
incurred.
5) If There is a change of Plan:
Travel arrangements are often made many months in
advance. Whist the Company will always endeavour to
entirely satisfy your requirements it is sometimes
necessary to make alterations to the planned
arrangements for a variety of reasons including but not
limited to adverse weather conditions, political unrest,
acts of terrorism, disruption of scheduled transport
services, strike, Civil Aviation Authority, local
authority or police restrictions. We will not cancel or
amend the travel arrangements unless it is necessary for
such reasons or other circumstances beyond the Company
control.
In these circumstances the Company
reserves the absolute right, at its discretion, to make
any necessary changes. In such event we will offer you,
where appropriate another tour to same standard. If
there is no suitable tour we will refund all monies paid
to the Company in full.
All tours are operated subject to a
minimum number of participants and if there is
insufficient demand for any tour offered we reserve the
right to cancel the arrangements and refund any monies
paid to the Company in full.
6) Our Liability to You: All elements
of the tour will be provided either by the Company or by
independent sub-contracted suppliers.
We accept responsibility for ensuring
that the tour reserved is provided at a reasonable
standard and as described in the promotional literature
issued. If we do not provide the services as described
we will pay appropriate compensation. Please see
paragraph 8.
The Company will do all in within its
reasonable power to ensure that all elements of the tour
are provided by efficient, reputable and safe suppliers
and that the adhere to all laws and regulations
governing their activities.
The company accepts no responsibility
save as otherwise required by law for loss or additional
expense due to delay or change in air, road, rail, sea
or other services, or arising from quarantine, sickness,
strikes, lock-outs, weather or any other conditions and
the control of the Company. Any such loss must be borne
by the person(s) booking with possible reimbursement
under certain circumstances direct from the company
responsible or through insurance cover.
7) If you have a Complaint: The
Company does its utmost to ensure that the travel
arrangements provided are successful. However in the
event that you wish to complain about any aspect of your
arrangements you must notify our tour representative or
local agent who will do everything possible to resolve
the problem.
Our representative and/or agent is
there to assist passengers and will ordinarily be able
to deal with any problem quickly and satisfactorily.
If for any reason a problem cannot be
resolved to clients satisfaction locally, the complaint
should be detailed in writing and forwarded to the
Company within 28 days of return from the tour.
Such a complaint will be investigated
thoroughly and every effort will be made to ensure that
the matter is resolved speedily and amicably. In the
event that we are able to reach an amicable agreement we
will appoint a mutually acceptable independent arbiter
to decide on a appropriate outcome.
The Company representatives are
empowered through Travel Management Group PLC and the
appropriate authorities, to re-patriate anyone found
guilty of persistent mis-conduct. All expenses incurred
will be charged to that individual and by signing the
booking form all persons named on it are committing
themselves to pay such expenses.
All itineraries are issued on the sole
responsibility of the Company. They are not issued on
behalf of and do not commit the airlines or any other
transportation companies therein or any airline or
transportation companies whose services are used in the
course of the travel arrangements.
